FunnelWon.com LLC (“FunnelWon,” “we,” “us,” “our”) respects your privacy. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you visit https://funnelwon.com (our “Website”), use https://searchus.funnelwon.com (our “Dashboard”), use our SearchUs WordPress plugin or related FunnelWon search products (our “Plugin”), or otherwise use our websites, APIs, and connected services (collectively, the “Services”).
By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.
Our Terms of Service govern use of the Services.

2. Information we collect
2.1 Information you provide
- Account and authentication (Dashboard): Name, email address, password (stored using secure hashing), organization or site details, and similar account information when you register or sign in.
- Communications: If you email or otherwise contact us, we collect the content of your message and associated details (e.g. your email address). We use Google email services for routine business email.
- Payments: If you purchase paid Services, Stripe collects payment information (such as card details). We receive information needed to fulfill your order and maintain your account (for example, transaction identifiers, billing status, and limited payment metadata—not your full card number, which is handled by Stripe).
2.2 Website and Dashboard (automatic collection)
- Usage and device data: IP address, browser type, device type, operating system, referring URLs, pages or screens viewed, and timestamps.
- Google Analytics: We use Google Analytics on our Website (and, if configured, on the Dashboard) to understand how visitors use our properties. Google may use cookies or similar technologies. See Google’s Privacy Policy and Google Analytics help.
- Logs and security: Server and application logs, diagnostics, and security-related events.
2.3 SearchUs in-plugin analytics (on the customer’s WordPress site)
SearchUs can record optional, first-party analytics stored only in that site’s WordPress database—not used by FunnelWon for advertising and, for this analytics feature, not transmitted to FunnelWon as part of normal Plugin operation.
Depending on settings, recorded data can include:
- Search query text (normalized; stored up to 191 characters per query). The Plugin may also store a non-reversible hash of the normalized query for database keys; the plain query text is what powers reports.
- URLs clicked in search results (for click-through patterns), stored as sanitized http/https URLs (length-limited).
- Smart 404 recovery: when Smart 404 recovery is enabled, the requested path (path and query string, length-limited) and the derived or submitted search query associated with that recovery flow may be recorded for analytics.
Controls (site administrator):
- Main analytics: Administrators can turn off SearchUs analytics recording for standard site search and result clicks. When off, the Plugin does not write those analytics events to the database.
- Smart 404 analytics: Administrators can turn off Smart 404 analytics separately while leaving Smart 404 recovery on, so recovery behavior can stay enabled without recording Smart 404–specific metrics. Alternatively, disabling Smart 404 recovery entirely stops that flow and the analytics associated with it.
- Retention: Administrators choose how long to keep aggregated analytics data: 30, 90, or 365 days (default 90). Scheduled cleanup deletes older rows.
- Reporting filter: A setting can control whether Smart 404 data is included in the main analytics view in the admin UI (this affects presentation of data already recorded, not whether SearchUs operates).
Cookies / deduplication: When analytics recording is enabled, the Plugin may set a first-party cookie (or use similar mechanisms) so search events can be deduplicated in a privacy-conscious way. If cookies are blocked, the Plugin may fall back to other limited signals for the same deduplication purpose.
Site owner responsibility: If you operate a website that uses SearchUs, your own privacy notice should describe this processing to your end users and reflect your configuration (including whether analytics and Smart 404 are on or off).
2.4 Search and indexing (FunnelWon API)
To provide search and indexing, the Plugin and our API exchange technical and content data needed to operate the service (for example, site identifiers, configuration, and search queries when a visitor runs a search). That processing is service delivery, separate from the local analytics tables described in section 2.3. Content sent for indexing is governed by your settings and what you choose to index.
2.5 Search result cache (performance, local)
Separately from long-term analytics, SearchUs may cache recent search results on the WordPress site (for example in transients) to improve speed. Cached entries use a rolling window of approximately thirty (30) days, expiring at 3:00 a.m. in the site’s WordPress timezone on the scheduled expiry day, and the Plugin limits how many distinct queries are cached (e.g. up to 100). This cache is not the same as analytics retention.
2.6 Children
We do not knowingly collect personal information from children under 13 (or under 16 where applicable law sets a higher age). If you believe we have collected information from a child, contact privacy@funnelwon.com.
3. How we use information
We use information to:
- Provide, operate, maintain, and improve the Services (including search, indexing, Dashboard accounts, licensing, and support);
- Measure how our own websites and Dashboard are used (including Google Analytics);
- Process payments and protect against fraud (with Stripe and our own security measures);
- Communicate with you about the Services, security, and support;
- Comply with law, enforce our terms, and protect rights and safety;
- For other purposes described when we collect the information or with your consent where required by law.
We do not sell your personal information as “sale” is defined under U.S. state privacy laws, and we do not use your personal information for cross-context behavioral advertising unless we disclose that separately and offer any choices required by law.
4. Legal bases (EEA, UK, Switzerland)
Where GDPR or similar law applies, we rely on:
- Contract — to provide the Services you request;
- Legitimate interests — for example security, fraud prevention, service improvement, and analytics on our own properties, balanced against your rights;
- Legal obligation — where the law requires processing;
- Consent — where we ask for it (e.g. certain cookies or marketing); you may withdraw consent where applicable.
5. How we share information
We may share information with:
- Google — for Analytics (as configured) and for our business email;
- Stripe — for payment processing;
- Other service providers — such as hosting, databases, email delivery, customer support tools, and security vendors, who process data on our instructions;
- Professional advisors — when needed;
- Authorities — when required by law or to protect rights, safety, and security;
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to appropriate safeguards.
We may share aggregated or de-identified information that does not reasonably identify you.
6. International transfers
We are based in the United States. If we transfer personal data from the EEA, UK, or Switzerland, we use appropriate safeguards where required (such as Standard Contractual Clauses).
7. Retention
We retain personal information only as long as needed for the purposes in this Policy, unless a longer period is required by law. SearchUs analytics retention on customer sites is controlled by the site administrator (section 2.3). Search result cache duration is described in section 2.5.
8. Security
We use technical and organizational measures designed to protect personal information. No method of transmission or storage is fully secure.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or export certain personal information; to object to or restrict certain processing; to withdraw consent where processing is consent-based; and to complain to a supervisory authority. California residents may have additional rights under the CPRA.
To exercise rights relating to FunnelWon’s Services: privacy@funnelwon.com. We may need to verify your request.
Google Analytics: You can use browser controls or Google’s settings where available to limit Analytics data collection.
Marketing emails: Use the unsubscribe link in promotional messages. We may still send transactional or service-related emails.
SearchUs on your site: Data stored locally by the Plugin is under the site administrator’s control (WordPress database, Plugin settings, and cache tools).
10. Third-party links
Our sites may link to third parties. Their practices are governed by their own policies.
11. Changes
We may update this Policy and will post the new version with an updated “Last updated” date. Material changes may be communicated as required by law.
